RSGC Privacy Policy

This privacy policy describes the types of information that we collect, in line with the General Data Protection Regulation (GDPR). This is divided according to the type of interaction a person has with the club. The lawful bases for collecting this information include:

  • Consent, e.g. subscription to receive updates from our blog

  • Our contractual obligation, e.g. to maintain memberships with the club

  • Our legal obligation, e.g. to maintain records of flights

  • Our legitimate interest, e.g. to track and encourage the development of our members

Website Visitors

Our website uses cookies and records information such as IP addresses, device types, how the website is accessed (such as from a link or directly), and the pages viewed to gather site usage metrics. We use this data to improve our site, thereby helping us to provide a good experience when browsing our website.

A cookie is a small file of letters and numbers that we store in a browser or the hard drive of a computer when agreed. Cookies contain information that is transferred to a computer’s hard drive. You can choose whether you accept or decline these cookies using the bar that appears at the bottom of the website. Cookies can also be blocked by activating the setting in the browser that allows the setting of all or some cookies to be refused. However, if browser settings are used to block all cookies (including essential cookies) all or parts of the website may not be able to be accessed.

Blog Updates Subscribers

We allow anyone to receive notifications when we post new blog posts. We do this using a service called Mailchimp, which automates the subscription process and automatically sends out emails. In order to do this we need to collect the email addresses of our subscribers, which are stored by Mailchimp. We employ commonly used tracking features to determine whether an email sent is opened, and whether any links are clicked. We use this data to improve our blog and email notifications, thereby helping us to provide a good experience. Subscribers can update their details or unsubscribe at any time by clicking on the link at the bottom of a blog updates email.

Members

New temporary (day) or annual members of RSGC (including reciprocal members) will complete and sign a membership form. From this we collect personal details, contact details and relevant gliding information. We use this information to administer memberships and flying accounts. We also use this data to fulfil our obligations to organisations that we work with, such as the RAFGSA and the BGA. We may share information with these organisations where necessary. We also gather and keep contact details for next of kin to ensure that, in the unlikely event of an emergency, we are able to contact an appropriate person.

For annual members, we also use the information provided on membership forms to establish a login for the members area of our website and a subscription to receive updates from our public blog. Therefore, the information in the “Blog Updates Subscribers” section above also applies to our members. Where necessary, details of members may be passed between members of RSGC to facilitate communication within the club.

Information on the gliding-related qualifications and experience of our annual members is collected. This allows us to ensure that we have sufficient supervision available on any flying day, and to encourage and track the progression of our members.

A member’s personal details are deleted 12 months after their membership has lapsed as long as their flying account is balanced. However, we must retain some personal details in order to maintain our legal obligation to keep records of flights undertaken at RSGC.

Storage of Personal Information

We employ a variety of measures to keep personal information safe and to prevent the unauthorised access to, use of, or disclosure of this information. However, no transmission of information over the internet nor means of storage of information is 100% secure.

Under data protection law, your rights include:

  • Access - You have the right to ask us for copies of your personal information. 

  • Rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

  • Erasure - You have the right to ask us to erase your personal information in certain circumstances. 

  • Restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

  • Objection to processing - You have the right to object to the processing of your personal information in certain circumstances.

  • Data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
